When a Delivery Load is Compromised, a Reliable Data Trail Helps the Shipper Avoid a Costly Claim

It's the kind of call that can ruin your day. A national package delivery company—responsible for million- dollar customer shipments—got word that a load in one of their trailers had been compromised.
A critical question, however, was when.

The delivery company was responsible for the trailer— and its contents—while located at its facility in Southern California, where it was under the protection of U.S. Security Associates. But the trailer had been transported to a rail carrier, which had assumed responsibility for moving it across the country to Pennsylvania.

So when the break-in was discovered and reported, the question of "when" had serious implications. Would the shipping company be on the hook? Or could it somehow demonstrate that it had done its part, and that fault—and liability—lied elsewhere?

At the shipping company's SoCal yard, USA officers use hand-held devices to access the Vehicle and Visitor Management module of its P3 technology platform, which effectively processes and stores truck and trailer data upon arrival and departure from customers' distribution centers and truck yards.

The system marks a dramatic upgrade from the method the shipper had used prior to contracting with USA, which consisted of a paper-and-pen process of checking in and checking out trailers by writing down its number.

USA's technology-based approach allows for richer data capture, and provides a fail-safe method to ensure that all required information is logged for every vehicle entering or exiting a facility. For the shipper's trucks leaving its yard in Southern California, that data includes a series of photos.

In this case, those images proved critical. They clearly demonstrated that the trailer left the shipper's facility with a TransBolt security seal firmly in place.

"It showed that it had a proper seal on it and when it left the yard that it was intact," explained a USA senior operations executive. "So the client was able to show that the load hadn't been compromised on their watch and they averted a potential claim."

The average loss in cargo theft cases in 2016 topped $206,000, according to CargoNet, a firm that collects and analyzes cargo-theft data.

Prior to contracting with USA, when it could identify a trailer's seal number but had no evidence of its condition when it left a facility, the company would have been vulnerable to such a loss claim. With USA's P3 technology as the differentiator, however, not only was the shipping company able to produce proof that the incident did not occur on its watch—it was able to provide it quickly.

Immediately upon USA officers collecting data on a vehicle as it enters or leaves a facility (including pictures), the information goes into the technology's database. It is then immediately searchable and accessible by a client's local management and security team.
